1. Registration is Subject to Approval

Submission of a registration form and successful payment does not automatically guarantee participation in the event.

KFS reserves the absolute right to verify, review, approve, reject, suspend, or cancel any registration before, during, or after the event if the participant is found to be in violation of KFS policies, event guidelines, university regulations, applicable laws, or community standards.

KFS may refuse participation without prior notice if deemed necessary for safety, fairness, security, operational requirements, or the integrity of the event.

4. Registration Cancellation by KFS

KFS reserves the right to cancel, suspend, or void any registration — even after payment — if the participant:

1. 4.1 Provides false, misleading, or fraudulent information.
2. 4.2 Violates event rules or KIIT University regulations.
3. 4.3 Engages in harassment, abuse, discrimination, bullying, or misconduct.
4. 4.4 Threatens event safety, engages in cheating, impersonation, or unauthorized access.
5. 4.5 Damages property or disrupts event operations.

In such cases, registration may be terminated immediately without compensation, refund, or liability. The decision of KFS shall be final and binding.

5. Eligibility Requirements

Participants must satisfy all eligibility requirements specified for the event. KFS reserves the right to request valid student ID, government-issued ID, university credentials, proof of age, or additional verification documents. Failure to provide requested documentation may result in cancellation without refund.

6. Code of Conduct

All participants must follow organiser instructions, respect fellow attendees, maintain professional conduct, and comply with venue regulations. Immediate removal (without refund) may result from harassment, physical altercations, substance abuse, property damage, unauthorised recording, or offensive conduct.

7. Safety & Security

KFS may conduct identity verification, inspect belongings, restrict prohibited items, remove safety risks, and coordinate with university or law enforcement when necessary. Non-cooperation with security procedures may result in denied entry.

8. Photography, Videography & Media Consent

By attending, you grant KFS permission to photograph, record, or livestream your presence and use your likeness for promotional, archival, or publication purposes without additional notice or compensation. Participants who do not wish to appear in media should contact organisers in advance; complete exclusion cannot be guaranteed.

9. Intellectual Property

Participants retain ownership of original creative works submitted. By participating, you grant KFS a non-exclusive right to display, promote, and archive submitted content for event-related purposes. Participants warrant they hold all necessary rights to submitted content.

10. Payment Gateway — Razorpay

Payments are processed by Razorpay Payments Pvt. Ltd. KFS does not store card numbers, CVV information, or banking credentials. KFS is not liable for payment failures, gateway downtime, bank-side declines, or network interruptions. Payment concerns should be directed to Razorpay support.

11. Event Modifications

KFS reserves the right to modify schedules, change venues, adjust event formats, alter competition structures, or change judges, speakers, and hosts. Such changes shall not constitute grounds for refunds.

12. Force Majeure

KFS shall not be liable for cancellations, postponements, or interruptions caused by natural disasters, extreme weather, government restrictions, public health emergencies, technical failures, security threats, civil disturbances, or venue unavailability. Refunds are not guaranteed in force majeure situations.

13. Data Privacy

Information collected during registration (name, email, roll number, contact details, university information) is used solely for event administration, verification, communication, security, and certification. KFS does not sell participant data. Information may be shared with payment processors, university authorities, venue management, or law enforcement only when legally required.

14. Limitation of Liability

Participation is voluntary and at the participant's own risk. KFS, its organisers, volunteers, sponsors, and affiliates are not liable for personal injury, loss of belongings, theft, property damage, travel or accommodation expenses, or any indirect losses arising from participation. Participants are responsible for safeguarding personal property.

15. Final Authority

All interpretations of event rules, participant eligibility, registrations, disqualifications, disputes, and operational decisions shall be determined solely by KFS. All decisions are final, binding, and not subject to appeal.

18. Governing Law & Jurisdiction

These Terms & Conditions shall be governed by and construed in accordance with the laws of India. Any disputes arising out of or in connection with event registration shall be subject to the exclusive jurisdiction of the competent courts in Bhubaneswar, Odisha.
